Business Operations Specialist

Your mission

To support our growing team, we are looking for a Business Operations Specialist to join us. In this role, you will support the Head of Operations and leadership team in driving structured execution, operational excellence, and internal coordination across the company. You will help build and scale the internal operational structures, processes, and systems that enable efficient collaboration and high performance within a cutting-edge AI infrastructure company.

Support the Head of Operations and leadership team in driving structured execution across the company
Drive the rollout, administration, and continuous improvement of internal software tools, including CRM and other SaaS platforms, and manage system permissions and access groups in collaboration with the Head of Operations.
Prepare and structure internal presentations, ensuring PowerPoint templates and brand assets remain clear, consistent and up-to-date
Contribute to the development of scalable operational processes
Support operational coordination, documentation, and internal processes to ensure smooth day-to-day operations.

Your profile

2+ years of experience in operations, project coordination, or similar
Experience supporting senior leadership
Structured, proactive, solution-oriented working style
Confident working with Microsoft Office and SaaS tools (e.g., HubSpot, Jira, or similar platforms)
Professional-level English to use with our international team

Nice-to-have

Professional-level German and experience working with vendors and stakeholders within German business environments
Experience in a startup or other fast-paced, high-growth environment
Experience collaborating with international and distributed teams
Experience working with and optimizing CRM systems (e.g., HubSpot), including configuration, analytics, and leveraging data to improve processes and decision-making, as well as supporting related IT or security processes
Exposure to compliance and systems-related topics such as SOC 2, access management, endpoint security, and SaaS tool administration (e.g., permissions, group mapping, automation)

This is a hybrid position based in or near Heidelberg, combining regular on-site collaboration with flexible remote work.
